Hi there! We are looking to hire an Operations Specialist ASAP! We need someone who can help us with administrative tasks within the Operations department.

Experience working with administrative tasks strongly preferred. 

This position is a full-time, 40+ hour per week role, with potential for additional hours based on availability. You will be required to work 8:00 AM - 5:00 PM during Pacific Standard Time hours. 

You will need to be smart, and driven, and be extremely independent. However, we do have standardized processes and operating procedures that you will need to follow in this role. 

You must have STRONG listening, writing and communication skills, and interpersonal skills. You must be organized, and view timelines as something that is non-negotiable, not suggestions. You must be the type of person who doesn't need people to tell you to do something twice. 

You must be willing to stay on top of all communication channels we use (email and our internal chat), be willing to ask questions when needed to ensure you understand what your tasks are and how our processes work.

We need a team player who is willing to do whatever it takes to get projects done on time - "lone wolves" are not what we are looking for.

(Side note - if you have a great sense of humor and thick skin, even better! I (the founder) have a really unique sense of humor, and also swear a lot - so if this offends you, or if you're allergic to a fun time, then this role might be a nightmare, lol).

ABOUT THE POSITION:

  1. You will be in charge of writing and maintaining Standard Operating Procedures (SOP) documents. 
  2. You will get the client’s tickets and assign them to the right person if needed. 
  3. You will conduct interviews and analyze candidate answers on our forms according to our standards. 
  4. You will have to create new databases when they are needed, check the current ones regularly and make sure they are up to date.
  5. You will have to do research about software or projects we may implement in the operation, and help us decide which option could fit the best for us (and take part in developing projects if needed)
  6. Complete any tasks the Operations Manager sends to you on time.
  7. Checking client accounts’ status and Quality Control for our internal call center program.
  8. We are disciplined and process-focused, so we will need you to match this principle as well.

 

We are willing to pay for any training that may be beneficial to your position. We work as a team, and if you ever feel like you don’t know what to do for a certain step, I will gladly hop on a video call with you and talk to you about what I think we should do. It's okay to make mistakes if you want to try something for yourself, but remember not to make the same mistake twice.


ABOUT COMPENSATION:

  • Will pay every two weeks after the first month.
  • We pay bonuses for great work and employees who show initiative and drive to grow the business.
  • We give pay increases based on performance.
  • Every month you work, you proportionally accrue paid time off, totaling 6 paid days off over the entire year.
